For twenty years, Quest Fitness Club has been operating in Caerphily. Current owner Ryan Nicholls has been vital in turning Quest Fitness into a comprehensive, independent gym that aims to “tick all the boxes” for their members.

And with over 1,100 members and counting, it is clear that Ryan and his team are doing things right. Quest Fitness Club is constantly improving, with recent additions including a large free weight section, a functional suite, a large spa, and a busy class schedule. 

But as the Quest Fitness Club grew, their old membership management system began to hold it back in more ways than one.

“We were using another system but it wasn’t working for us”, Ryan explains. The switch to Ashbourne five years ago marked a turning point. “From our experience of the last system we used compared to this current Ashbourne, it has been tremendous”.

We use a membership card scheme made possible by Ashbourne. Members swipe in at the front desk, their photograph comes up and whether they are fully paid up or not!

What had previously been an involved process had been reduced to a simple swipe, saving time, eliminating the potential of an unpleasant customer and staff experience, all while protecting Quest’s revenue.


And our direct debit payment collection service is now something Ryan knows he can rely on, taking a vast chunk of admin and worry off his plate.

Ashbourne direct debit payments are very, very simple. We get paid twice a month. The money is transferred directly into our account. We get an invoice a few days prior, with a list of who has paid and who hasn’t. It allows us to monitor our members effectively.

It is a feature many of our independent gym and fitness club partners love and Ryan is quick to point out the value and peace of mind that this clear, consistent and most importantly, accurate look at the gym’s financial situation brings to the business. 

So we know where we stand financially, which helps us plan and budget for our future development. It is probably the best part of the Ashbourne system.

Ashbourne’s payment collection services are another area which has taken something previously time consuming and unpleasant out of Ryan’s hands. “The debt collection part of it is phenomenal, it has also allowed us to save money”.

Here at Ashbourne, we are keen to make sure that we aren’t just a back of the office system, our goal is to add value across the facility for any independent gym we work with. This approach has helped Quest’s growth and member retention strategy in several areas.

Once again, our integrated payment systems have allowed growth in an area that previously would’ve been a time intensive endeavour for Ryan and his team. 

Retention is another area we have talked about at length here at Ashbourne and our retention tools have helped Quest turn that talk into action, boosting member retention and identifying at-risk members.

“With the marketing system Ashbourne has in place, we can send out direct e-mails to members and non-members as well. The social media side is invaluable now to grow the business and to show what we do here, regarding the classes we run, the spa, the functional facility, the boxing facility, the new machines we’ve installed. We are seeing a lot more online joining than we have before”, Ryan observes. “It is helping us grow our membership base. Our membership has gone up considerably over the last 12 months.
